Director Adams and Chairman Lentzner reviewed an outline of points that could be included in the sports agreement that staff is preparing for each of the sports associations. • Sports User Agreement: for the new game fields only and annual fees determined by town staff. Fields can be rented for private use & tournaments are a huge opportunity to market our town! I.E. World Series baseball rental revenue is up 700% for 1 week season. S.U.A. allows staff to effectively maintain town properties, open up field space allowing the town to rent the fields for private use or tournaments, form on-going partnerships with various associations, regulate and control the use of town fields, establish both practice and game season start & ends dates, allows associations to use the town facilities for a flat fee and create tournament fees outline the town’s financial expectations for tournament play by associations and private groups, establish insurance specifics and maintain guidelines, allows staff or designees to have a seat on association’s board, establish lighting control measures, and identify public and private equipment. • Main benefits of S.U.A.’s are revenue generator, control electrical costs, and positive economic impact to our town. Trophy Club is about Recreation Organization first, and then Recreation/Select teams second. To offset the costs of concession stands, league flat fee of $10.00 per kid. 4. Discuss and provide input concerning various park projects utilizing the remaining bond monies. Director Adams reviewed 8 projects: small splash pad, replacement playground at Harmony Park, tennis court lights at Harmony Park, multi- use field lights at Independence East, playground at Independence East, trail improvements at TCP, fishing pier (study), recreation/community center study. Title Discuss and take appropriate action on appointing a primary and an alternate member to participate in the Town Council's Vision process Parks & Recreation Board 8 of 12 Tuesday, March 13, 2012 ● TOWN OF TROPHY CLUB 100 Municipal Drive, Trophy Club, TX 76262 ● Phone 682-831-4600 ● Fax 817-491-9312 ● www.trophyclub.org March 9, 2012 RE: Vision Trophy Club Dear Parks & Recreation Board President Larry Lentzner, Trophy Club recently celebrated 25 years of incorporation, and the Town Council has initiated the process to begin planning what Trophy Club will be in the next 20-30 years. Progress and forward thinking are important for any municipality, and it is vital to understand where we are going and how we want to get there. Establishing a long range strategic plan that guides Trophy Club in a positive direction will help ensure that development happens deliberately, with purpose, and maintains our community values. The Town Council is seeking representatives from each board, committee and commission to assist in the vision planning process and there is an organizational meeting planned for either March 27 or 29 to learn more about this opportunity. Developing a long range strategic plan is not a simple or short process and it requires a significant time commitment. Ultimately, our goal is to develop a 20+ year vision for Trophy Club that the community supports. We ask that you appoint a primary and alternate representative from the Parks & Recreation Board. Once a primary and alternate are selected, please e-mail both names and contact information no later than March 26 to vision@trophyclub.org. If you have any questions please contact Stephen Seidel at sseidel@trophyclub.org. This is an exciting project, and we appreciate your help in working toward Trophy Club’s future vision.
